Privacy Policy
Greenhill Boetiek Kleuterskool handles your family’s information with the same care we give your child. This policy explains what information we collect, why we collect it, who we share it with and what rights you have. It is written in line with the Protection of Personal Information Act (Act 4 of 2013), known as POPIA.

1. Who we are
Greenhill Boetiek Kleuterskool is a private preschool in Lynnwood Ridge, Pretoria. For the purposes of POPIA, the school is the responsible party that decides how and why your information is processed.
Our information officer is Himne, the owner and principal. Please call her on 078 356 2003 or send an email to himne@greenhillboetiek.co.za about anything in this policy.
2. What information we collect
When you use the contact form on this website: your name and surname, your mobile number, your email address, your child’s age group, when you would like to start, whether you would like to visit the school, and any message you add yourself.
When you contact us directly: the details you share by email, telephone or WhatsApp, and the conversation itself.
When your child enrols with us: your child’s name, date of birth, medical information such as allergies and medication, emergency contacts, the people allowed to fetch your child, and notes about your child’s routine and development. This information is set out in the enrolment forms, and we only ask for what we need in order to care for your child safely.
Photos and videos: we take photos and videos of the day’s activities. Photos sent to you are part of our daily feedback. Photos in which your child is recognisable are only used on the website or on social media if you have approved that in writing, and you can withdraw that consent at any time.
Technical information: our website provider keeps standard server logs, which include details such as an IP address and browser type, to keep the website secure and available.
3. Why we use it
We use your information to answer your enquiry and arrange a visit, to reserve your child’s place and complete the enrolment, to care for your child safely and appropriately, to contact you about your child’s day or in an emergency, to handle accounts and payments, and to comply with the law that applies to a preschool.
We never sell your information, we do not rent it out, and we do not use it for advertising without your permission.
4. Children’s information
POPIA gives children’s personal information extra protection. We process it only with the consent of a parent or guardian, and only for the care and education of your child. Consent for photos is asked separately and stands apart from the enrolment itself.
5. Who sees the information
Inside the school, Himne and the staff involved with your child see only as much as they need to do their work.
Outside the school we share information with the service providers that keep the school running, such as our website host, our email service and the software behind the contact form. They may use it only for our purposes.
We also share information where the law requires it, for example with health services in an emergency or with a government department that oversees early childhood development.
6. Where it is stored
Enquiries that come through the website are sent by email and stored on the website’s server. Some of our service providers store data outside South Africa. POPIA allows this where that country or provider offers a similar level of protection, and we choose providers with that in mind.
7. How long we keep it
Enquiries that do not lead to an enrolment are kept for at most 24 months and then deleted. Records of children who have been with us are kept for as long as the law requires after the child leaves the school, and are then securely destroyed.
8. How we protect it
Access to information is limited to the people who need it, our computers and accounts are password protected, and paper records are locked away. No system is perfectly secure, but if something ever goes wrong with your information, we will notify you and the Information Regulator as POPIA requires.
9. Cookies and content from other websites
This website uses no advertising or tracking cookies. A cookie may be stored to remember whether you prefer the Afrikaans or the English version. If we add visitor statistics later, we will update this policy before that happens.
Some content comes from other services. Videos load only when you press play, and the map in our contact section comes from Google. If you tap our WhatsApp, Facebook or Instagram links, those services’ own privacy policies apply.
10. Your rights
You may ask what information we hold about you and your child, ask us to correct mistakes, ask us to delete information where we no longer need to keep it, object to how we use it, and withdraw any consent you have given.
Send your request to himne@greenhillboetiek.co.za. We answer as soon as possible and in any case within 30 days.
11. Complaints
Please speak to us first, because most things are sorted out quickly. If you are still unhappy, you can lodge a complaint with the Information Regulator:

We update this page whenever the school or the website changes. The date at the top shows when that last happened.
